This Privacy Policy explains how Cozy Turtle RV Rentals, LLC, Cozy Turtle, LLC and Cozy Turtle Storage, LLC—collectively, “Cozy Turtle,” “we,” “us” or “our”—collect, use, disclose and protect personal information in connection with our website and services.

Our services include RV rentals, storage, transport, setup and disconnecting, service and repair, RV sales and consignment inquiries, and parts, accessories and apparel sales. RV transport and associated setup and disconnecting services are provided by Cozy Turtle, LLC.

This policy describes our information practices. Where separate consent is required for a particular activity, we request that consent separately.

1. Information We Collect

The information we collect depends on how you interact with us and the services you request.

Contact and customer information. Names, email addresses, telephone numbers, billing or mailing addresses, and information supplied when requesting services or communicating with us.

RV and service information. RV year, make, model, identifying details, approximate size, relevant condition information, requested services, rental or storage arrangements, service history, work authorizations and related notes.

Transport and access information. Requested dates and times, pickup and destination addresses, facility names, campsite or storage-space numbers, gate codes, key arrangements, entry restrictions and other instructions needed to perform the requested services. Our own storage facility uses lock-and-key access; customers may provide access codes for other locations.

Transaction records. Quotes, reservations, agreements, invoices, purchases, payment status, transaction references, cancellations and refunds. Payment information is processed through payment-service providers. Please do not submit payment-card numbers or bank-account information through general inquiry or transport request forms.

Communications and acknowledgments. Emails, text messages, voicemails, handwritten or electronic notes, submitted acknowledgments and associated dates and times. We also maintain records of marketing consent and communication preferences. We do not record live telephone conversations.

Condition and service documentation. Photographs, inspection notes and other records documenting RV condition, repairs, storage or transport services.

Security recordings. Video and audio recordings from security cameras in designated common areas, entrances and parking or storage areas at our retail store and storage property. Notices are posted at these locations.

Website information. IP addresses, browser and device information, pages visited, referral information and interactions such as clicks, scrolling and navigation, collected through cookies and similar technologies as described below.

We do not use GPS tracking on rental RVs or maintain electronic gate-entry logs at our storage property.

Please provide only information reasonably needed for your request. Do not include unrelated passwords or unnecessary sensitive information.

2. How We Collect Information

We collect information directly from you through website forms, agreements, purchases, service requests, emails, texts, telephone communications and in-person interactions.

We also receive information from authorized representatives and providers supporting reservations, payments and other business activities. Security cameras and website technologies collect information as described in this policy.

If you provide another person’s information or instructions for accessing property you do not own, you must have appropriate authority to provide that information.

3. How We Use Information

We use information to:

Submitting a service request or acknowledging this Privacy Policy does not, by itself, enroll you in marketing communications.

4. How We Disclose Information

Service providers. We use providers supporting website hosting, forms, reservations, communications, customer records, invoicing, payment processing, accounting, analytics, advertising measurement, security and other business functions. These providers receive or process information needed for those functions. Certain providers may also process information for their own legal, security or fraud-prevention purposes under their applicable privacy notices.

Service coordination. Our team may provide relevant information to campground or storage-facility representatives when necessary to coordinate access, pickup, delivery or placement.

Consignment owners. We do not provide renter personal or contact information to consignment owners. Information provided for management and reporting is limited to non-renter-identifying information, such as booking dates, revenue and relevant RV condition information.

Incidents and claims. Relevant information, photographs and security recordings may be disclosed to law enforcement, insurers, legal advisers or other authorized parties when reasonably necessary to investigate incidents, handle claims, protect safety or establish, exercise or defend legal rights.

Legal requirements. We may disclose information when required by applicable law, legal process or a valid governmental request.

Business transactions. Information may be disclosed as part of a proposed or completed merger, acquisition, reorganization or transfer of business assets, subject to applicable confidentiality protections and legal requirements.

We do not sell or rent customer contact lists or provide them to other businesses for their independent marketing. Website analytics and advertising technologies are described separately in Section 5.

Mobile numbers and text-message consent records are not shared with third parties or affiliates for their own marketing or promotional purposes. They may be processed by providers supporting our messaging services or disclosed where legally required.

5. Cookies, Analytics and Advertising Technologies

Our website uses cookies and similar technologies for necessary website functions, remembering preferences, understanding website use, improving the customer experience and measuring or supporting advertising for Cozy Turtle’s own services.

Analytics and visitor-interaction tools may collect device and browser information, pages viewed, referral sources, clicks, scrolling and navigation. Visitor-interaction tools are configured to mask form-input contents.

Optional analytics and marketing technologies are restricted until you consent through our cookie controls. Rejecting or withdrawing consent stops further collection through those optional technologies. Necessary technologies may remain active to support functions such as security, shopping carts and remembering your privacy choices.

You may review or change available choices through Manage Consent on our website. Browser settings provide additional cookie controls. Restricting certain technologies may affect website functionality.

Withdrawing consent does not automatically delete information previously collected. You may contact us regarding that information as described in Section 9.

6. Marketing and Service Communications

Marketing enrollment is optional and separate from accepting service terms. We send promotional emails and text messages to customers who choose to enroll. Marketing consent is not required to purchase products or services.

You may unsubscribe from marketing emails using the unsubscribe link or by contacting us.

For text programs, message frequency varies and message and data rates may apply. Reply STOP to opt out or contact us using the details below. We also honor other reasonable opt-out requests as required by law. You may receive a final non-promotional confirmation of your text opt-out. Marketing opt-outs do not prevent necessary non-marketing communications about an active service or transaction. If you opt out of text messages, we may use another appropriate contact method for service communications.

We retain consent and preference records as needed to document your choices and honor opt-out requests.

7. Security, Access Instructions and Photographs

We use reasonable administrative, technical and physical safeguards appropriate to the information we handle. No transmission or storage method can guarantee absolute security.

Access to security-camera recordings is restricted to management, except for disclosures relating to incidents, claims or legal requirements described in Section 4.

Gate codes, key locations and similar transport instructions are maintained in restricted service records and made available to authorized personnel who need them to arrange or perform the service. These details are excluded from routine submission-notification and acknowledgment emails.

RV photographs are used for condition documentation, service records and claims handling, not advertising. We would request separate permission before using identifiable customer RV photographs for marketing.

We provide notices concerning security incidents as required by applicable law.

8. Information Retention

We retain information for as long as reasonably necessary for the purposes described in this policy, considering the service relationship, accounting needs, applicable legal and contractual obligations, insurance requirements and the resolution of claims or disputes.

We periodically review business records for cleanup. Retention varies by record type; not all customer information is retained for the same period.

Routine security recordings are overwritten on a rolling basis. Recordings relevant to an incident may be preserved longer for investigation, insurance or legal purposes.

Gate codes and key-location details are removed from active transport records after the complete service, including any return trip, unless needed for an authorized ongoing arrangement, an incident or a legal obligation. Restricted backup copies are handled through the applicable backup-retention process.

We may retain limited records of consent and opt-outs to document and honor communication preferences. Information is deleted, securely disposed of or deidentified when no longer needed, subject to applicable obligations.

9. Your Privacy Choices and Requests

You may contact us to request access to, correction of or deletion of personal information, or a copy of information we maintain about you.

Depending on your location and the laws applicable to our business, you may have additional rights concerning information portability, targeted advertising, sale or sharing, restriction of certain uses, or an appeal of a request decision. We honor applicable rights and do not unlawfully discriminate against people for exercising them.

We may need to verify your identity or an authorized representative’s authority. Some information may need to be retained for legal, accounting, security or claims-related purposes.
